How to use this guide
This guide takes a new company from sign-up to a finished job, in the order you would normally work. Every step uses the exact names of the buttons and menus you will see on screen.
Two ways in, one platform.
- Supervisors (the people who plan and run jobs) mostly use the website, veilforge.co.uk, on a laptop or desktop. The menu down the left-hand side is how you get around.
- Field operators (the officers on the ground) use the VeilForge app on their phone. It shows only what they need: their jobs, briefs, recces, messages and their own qualifications.
A supervisor can do everything an operator can. An operator can't see the company's planning screens.
The order to follow. Sections 1 to 4 set things up once: your account, your team, your principals and your venues. Sections 5 to 9 run a job from start to finish. Sections 10 to 14 cover the phone app, intelligence tools, after the job, and getting help.
Two things to know before you start.
- The AI suggests, a person confirms. Anything the AI researches, such as the nearest hard cover or hospital, shows in amber as "AI suggested" until someone checks it in person and ticks it off. Then it turns green and records who checked it and when.
- Test with invented details. While you're learning, use made-up names and jobs. Real principals' details should only go in once you're ready to use the platform for real.
Stuck? The Help Centre in the menu has an assistant that can answer questions about any screen, and can raise a support ticket for you. See section 14.
1. Getting started
You can create a free Field Operator profile at any time. Company plans (Standard, Premium and Agency) open on 6 November 2026, and every plan starts with a 30-day free trial.
Create your account
- Go to veilforge.co.uk and press Create one under the login box.
- On Create your account, choose your plan:
- Field Operator Profile (free): for officers who keep their own licences and join a company.
- Standard, Premium or Agency: for companies that plan and run jobs.
- Fill in Full Name, Email, Password (at least 8 characters) and Confirm Password.
- Tick the box to agree to the Acceptable Use Rules and confirm you have read the Privacy Policy.
- Press Create account.
- On Verify your email, enter the 6-digit code we email you and press Verify & Continue. Use Resend if it doesn't arrive.
- Free accounts go straight in. Company accounts go to a secure Stripe payment page to add a card.
Your card isn't charged until day 31. If you sign up through our conference link by 30 November 2026, it's day 61 instead (60 days free). You can cancel any time before then from your account settings. Before 6 November, choosing a company plan shows Company plans open on 6 November.
Get the phone app
- iPhone: search "VeilForge Intelligence" on the App Store, or use this link.
- Android: coming to Google Play shortly. Until then, open veilforge.co.uk in Chrome on your phone.
Sign in and reset your password
- Sign in: enter your Email and Password and press Log in.
- Forgotten password: press Forgot password?, enter your Email address and press Send reset link. Open the email, then enter and confirm your New Password and press Reset password.
Your profile
Click your name at the bottom of the left-hand menu, then My Profile.
| Section | What you can do |
|---|---|
| Your details | Change your photo, Full Name, Company Name (company plans) and Phone Number, then press Save Changes. Nothing saves until you do. |
| Password | Send Password Reset Email sends a reset link to your login address. |
| App Lock | Enable App Lock, choose a 4 to 8 digit PIN, then Set PIN & Enable. On a phone, Face ID or fingerprint is set up too. |
| Billing & Subscription | Shows your plan. Manage Billing lets you change plan, update your card, see invoices or cancel. |
| Integrations | Agency owners can add their own Google Maps key for live journey times (Save & Enable). |
| Data & Privacy | Export My Data downloads a copy of your data. |
| Delete My Account | Type DELETE and press Request deletion. See section 14. |
The same menu has Field View (see the phone app as an operator would), Refresh App (clear cache) and Sign Out.
What each plan includes
| Field Operator (free) | Standard | Premium | Agency | |
|---|---|---|---|---|
| Jobs, risk reports, Mission Briefs, Advance Work | Their own assigned work | Yes | Yes | Yes |
| Principals, venues, Job Tannoy, Team & Certs, Costings, Audit Log | No | Yes | Yes | Yes |
| AI Vetting of freelancers | No | No | Yes | Yes |
| Field Operators you can connect | n/a | 5 | 15 | Unlimited |
| Threat Monitor and Incident Patterns | No | No | Yes | Yes |
| Human Oversight reviews by an analyst | No | No | 4 a month | 10 a month |
| Extra supervisor seats | No | No | No | Up to 10 |
Upgrades take effect straight away. Downgrades take effect at the end of your billing period. If a payment fails, you have 3 days to fix it before access is paused.
2. Set up your company
Connect your officers first, because jobs, briefs, recces and messages can only reach people who are connected to your company. All of this lives under Team in the left-hand menu.
Connect your Field Operators (Invite Team)
Go to Team > Invite Team. There are two ways to connect an officer.
Option A: a join code (quickest for a group).
- Find the Join Code card at the top and press Copy. It looks like VF-7K2P-QXR4.
- Give it to your officers, for example at an induction or in a group chat.
- Each officer signs up for a free Field Operator profile on their phone, goes to Profile > Join a company, enters the code and presses Join.
- They are connected straight away, and you get an email each time someone joins.
If the code gets into the wrong hands, press Regenerate. The old code stops working, and everyone already connected stays connected.
Option B: invite one person.
- Under Invite a Field Operator, enter their Full Name and Email Address and press Send Invite.
- If they don't have an account yet, an invite link appears. Press Copy Link and send it to them yourself by email, text or WhatsApp. VeilForge doesn't send it for you.
- If they already have an account, they get a connection request to accept instead.
Invite links last 7 days. The Field Operator Seats card shows how many of your plan's places you've used, and every connected officer takes one, however they joined.
Removing someone: press the bin next to them under Active operators. They immediately lose your briefs, chat, recces and principal details, and the seat is freed. Their certificate history is kept and marked as removed.
Add fellow supervisors (Agency plan)
Go to Team > My Organisation. Under Invite a supervisor, enter their email and press Invite. The link is copied for you to send them. Supervisors on the same Agency account see all the company's jobs. You can have up to 10, and only the account owner can add or remove them.
Keep your roster and qualifications (Team & Certs)
Go to Team > Team & Certs. This is your record of every officer and their qualifications.
- Press Add Team Member, or Add Myself to the Roster if you also work on jobs.
- Only Full Name is required. Add what you have: contact details, day rate, specialisms, languages, SIA Licence number and expiry, first aid, driving, passport, DBS, specialist and custom qualifications, emergency contact, and private Internal Notes.
- Press Add Operator.
Expiry colours. Every date is colour coded, so problems stand out:
| Colour | Means |
|---|---|
| Green (shows the date) | More than 90 days left |
| Amber (shows days left) | 90 days or fewer |
| Orange (shows days left) | 30 days or fewer |
| Red, "Expired" | Out of date |
| Grey, "Not set" | No date entered |
The Profiles Requiring Attention card at the top lists everything expired, expiring within 30 days, or changed since you verified it.
Checking an officer's own documents. Officers who join keep their own licences on their own profile, and it moves with them between companies. Press Details on their row to open Operator's Own Profile, check each document yourself, then press Verify. Your name and the date are recorded. If the officer later changes that document, it automatically shows Changed since verified in amber, so a tick can never go quietly out of date.
SIA register check. Press Log Check, open the SIA Register, look the officer up yourself and record what you found. VeilForge never guesses a licence status.
Vet a freelancer before you use them (Vetting)
Go to Team > Vetting (or press Send for Vetting on a roster row). AI Vet is on the Premium and Agency plans.
- Press Add for Vetting, enter their Full Name and anything else you have: employment history, social media profiles, documents.
- Press Add for Vetting to save, then AI Vet on their row.
- Expand the row to read the result. It lists what was found, any concerns, what couldn't be checked, and what the search didn't cover.
- Decide yourself: Confirm This Status, or open the record and choose Vetting Passed, Vetting On Hold or Vetting Failed. Passed officers are added to Team & Certs.
Know its limits. AI vetting searches public sources only. It is not a criminal record check: UK convictions can only come from a DBS check. Instagram and Facebook often can't be accessed, and the result says so when that happens. The AI never sets the outcome itself; you do.
3. Principals and threat subjects
Save each person you protect once, and they can be reused on every job. You must confirm the principal has agreed to their details being stored before you can save them.
Add a principal
- Go to Intelligence > Principals and press Add Principal.
- Tick the agreement box to confirm the principal, or someone authorised to act for them, has agreed. Optionally choose How was this agreed? (in writing, verbally, under your contract with the client, or other). If you need wording to ask them, open See a template and press Copy template.
- Fill in Full Name and anything else useful: preferred name or codename, date of birth, nationality, role, Public Profile Level (Low to Extreme), emergency contact, medical considerations and security preferences.
- Leave Allow public profile research on for public figures, so the AI can look up their public profile. Turn it off for private individuals.
- Under Known Home Addresses, press Add Home Address. Keep it general, for example "Mayfair, London". Press Link to Venue for Intelligence if you want hard cover, hospital and crime data for the residence.
- Press Create Profile.
VeilForge records when the agreement was confirmed and by whom, and shows it on the profile. Any older principal without one shows an amber Agreement not recorded badge: open them, tick the box and press Record agreement.
When you edit an existing principal, press Save Changes before you leave the page. The one exception is Link to Venue for Intelligence, which saves straight away.
How the AI protects principals. The AI only ever researches a principal by name, with no dates, places or routes. Everywhere else, including the risk report research, they are sent under a code, and the real name is put back on our side afterwards.
Record a threat subject (Fixated Library)
A threat subject is a known person of concern to one of your principals, for example a fixated individual.
- Go to Intelligence > Fixated Library and press Add Threat Subject (or do it from the principal's page).
- Choose Which principal is this threat against?
- Enter a Name (if known), a Physical Description, or both.
- Set the Threat Level (Monitoring, Low, Moderate, High or Critical), and add their motivation, legal status (for example a restraining order) and a photo if you have one.
- Press Save.
Expand their row to add known addresses and venues they frequent, log a sighting or incident, or press Check Proximity to Venues to see how close they are to every venue you've saved.
Threat subjects linked to a job's principal are included in its risk report (sent to the AI as "Subject 1" and so on, never by name), and appear on the Mission Brief for the assigned team.
To correct a threat subject, press the pencil icon on their card in the Fixated Library, change the details and save. Sightings, incidents, addresses and venues can be added at any time.
4. Venues
A venue is a place you work at, saved once with its address, contacts, local crime figures and tactical intelligence, so every later job and recce can reuse it.
Add a venue
- Go to Intelligence > Venues and press Add Venue.
- Enter the Venue Name (required), Type and Address. The Postcode is required and must be a valid UK postcode: the crime data lookup uses it to find the location.
- Optionally add a photo (camera icon), Internal Notes, and contacts under Venue Contacts > Add Contact.
- Press Create Venue. Later changes need Save Changes.
Local crime data
Once a saved venue has an address, Local Crime Data loads by itself: the number of recorded crimes within about a mile, by type, on a map. These are real police figures from data.police.uk, so they run about 2 to 5 months behind and don't cover Scotland. Press Refresh to update them.
If you see "Could not geocode this address", the address is too vague to find. Check the postcode and press Fetch Crime Data.
Tactical Intelligence
Tactical intelligence is the three places your team needs to know about before they arrive:
- Hard Cover: the nearest safe building to move a principal into if something goes wrong.
- Hospital: the nearest hospital, and whether it is a Major Trauma Centre.
- CBRN / Decon: the nearest point able to deal with chemical, biological, radiological or nuclear contamination.
To research them:
- Under Choose what to research, switch on the ones you want: Hard Cover, Hospital and/or CBRN / Decon.
- Press Research Now. The AI finds the nearest suitable place for each and fills in a card.
- Press Live ETA on a card to see the current drive time (needs a Google Maps key, see section 1).
What the switches do. They only choose what the next Research Now looks for. Switching one off doesn't remove a result you already have. Pressing Research Now again replaces the current results, and the AI may pick a different place.
What the colours mean.
| Label | Means |
|---|---|
| Amber: AI suggested, not confirmed on the ground | Found by the AI. Treat as a lead, not a fact. |
| Grey: Entered by hand, not confirmed on the ground | Someone typed it in, but nobody has checked it on site. |
| Green: Confirmed on the ground by [name], [date] | An officer checked it in person during a recce (section 6). |
Only a recce turns an item green. Once confirmed, later AI research never overwrites it.
Advance Work History at the bottom lists every recce done at this venue. Use as Template starts a new recce from an old one.
Crime Map
To check any UK address without saving a venue, go to Intelligence > Crime Map, type the address and press Search. Save as Venue keeps it.
5. Plan a job
A job brings together who you're protecting, where, when and with which team, then the AI produces a risk report on it in about a minute. Press New Job in the left-hand menu to start.
Fill in the New Job form
The form saves a draft by itself a few seconds after you stop typing, once it has a title, so you can leave and come back.
- Upload an Itinerary (Optional). If you have the client's itinerary as a PDF or photo, upload it. The AI pulls out the people, places, movements and timings for you to check: untick anything wrong, then add the rest. Discard throws away what it found.
- Job Details.
- Job Title (required), for example "Executive visit, London, 12 November".
- Job Type: Venue for a one-off or short visit, or Residential for ongoing protection at a home.
- Human Oversight: AI Only releases the report straight away. Request Oversight (Premium and Agency) has an analyst review it before release, normally within 24 to 48 hours.
- Data Retention Period: how long the job is kept before automatic deletion (7 days to indefinite; 90 days is the default).
- Principal(s). Pick from Select from your Principals library to fill in a saved principal, or type their details. Tick the box to confirm each principal has agreed to their details being stored.
- Locations. Add each place: Location Name (required), type, address with postcode, dates and times. Pick from your Venues library to reuse a saved venue. Switch on Hard Cover and/or Hospital to have the risk report find the nearest ones.
- Travel Route(s) (Optional). For each journey: a label ("Airport to hotel"), date, time, Starting Point, Destination and any Waypoints. Each route is assessed separately. If a route's date falls outside the job's dates, you'll see an amber warning. Residential jobs show Residential Details instead (perimeter, access, lighting, CCTV, safe room, staff).
- Job Itinerary (Optional). A timed run of the day: date, time, what's happening and where.
- Security Team Composition. Use the plus and minus buttons to set how many of each role you need.
- Supporting Documents (Optional).
- Press Save & Continue. Principals and locations you typed are added to your libraries, and a schedule entry is created from the dates you gave.
The job workspace
Each job has a row of tabs across the top, in the order a job normally runs:
Risk Assessment > Schedule > Advance Work > Mission Brief > Debrief & Costings > Discussion
Each tab (except Discussion) has a coloured dot: grey means not started, orange means started but something is missing, and green means complete.
| Tab | Turns green when |
|---|---|
| Risk Assessment | The risk report has finished |
| Schedule | Every entry has a start date, an end date and at least one person assigned |
| Advance Work | A recce report has been approved |
| Mission Brief | The brief is compiled and a recce report has been approved |
| Debrief & Costings | The debrief has a summary and either officers or costs |
Run the risk report
- On the Risk Assessment tab, press Run Risk Analysis.
- Wait about 30 to 60 seconds while it reads "Conducting Risk Analysis". Keep the tab open until it finishes. If it was closed part way, press Retry Analysis.
- The report shows an overall risk level (Low, Medium, High or Extreme), then:
- an executive summary and a risk profile for each principal
- any known threat subjects
- for each location: crime (real police figures), stability, recent incidents, venue security, key risks and mitigations, FCDO travel advice, and the nearest hard cover and hospital (marked AI suggested unless confirmed on the ground)
- a separate assessment of each travel route
- a table of mitigations, and the sources used
- Press Download PDF Report for a copy to share or print.
- After changing the job, press Re-run Analysis for a fresh report.
If a report comes back High or Extreme without oversight, Premium and Agency users can press Send for Second Opinion to have an analyst review it.
A job stays a draft until its risk report has run. Until then, opening it from the Jobs list takes you back to the New Job form.
Find your jobs
Jobs in the menu lists everything under Future Jobs, Current Jobs and Past Jobs, based on each job's schedule status. Search by title or reference number. Job Calendar shows every job on a monthly calendar.
6. Advance work (the recce)
Advance work is the recce before a job: an officer visits the venue ahead of time and records what the team needs to know. The supervisor sets it up on the website; the officer usually completes it on their phone at the venue. The results feed the Mission Brief and are saved to the venue for next time.
How a recce flows
- Supervisor: creates the recce from the job and assigns an officer.
- Officer: visits the venue and fills it in on the phone, with photos.
- Officer: checks the AI's hard cover, hospital and CBRN suggestions on site and ticks off the ones that are right. They turn green.
- Supervisor: reviews the report, submits it and presses Approve.
- Everyone: the findings go into the Mission Brief for the whole team.
Set up and assign a recce (supervisor, website)
You can start a recce from Ops > Advance Work in the menu, from a job or from a venue.
- Open the job and go to the Advance Work tab. Press New Advance Report. (From a venue, press New Advance Report under Advance Work History.)
- Under Report Details, pick the venue from Select from your Venues library to fill in what's already known, or type the Location Name and Location Address. Add the Advance Date and Conducted By. Check Link to Assessment shows your job.
- Press Save Draft.
- The Assignment section now appears. Choose the officer from Select a field agent... and press Assign. They get a phone notification and an email, and are added to the job's chat.
You can only assign someone who is already on the job's team. If the list is empty, assign them on the Schedule tab first (section 7).
Complete the recce (officer, phone)
The officer opens Advance in the phone app. Recces assigned to them are listed first, marked Assigned to you. The recce runs as 14 short steps, moved through with Next and Back:
Basics, Drop, Walk-In, Incident Route, Event, Entry/Exit, Parking, Hard Cover, Hospital, CBRN, Comms, Security, Emergency, Surveillance & Notes.
- Each step saves when you tap Next.
- Photos: Take Photo opens the camera; Choose from Library picks an existing photo. You can mark up a photo before it uploads.
- Pin: records your exact spot as a what3words address using your phone's GPS. Use it for drop points, entrances, parking and muster points.
- Hard Cover, Hospital and CBRN: the AI's suggestion is shown in amber. Go and check it. If it's right, switch on Checked in person, it's right. Your name and the time are recorded, and it turns green everywhere, including on the venue for future jobs. If it's wrong, change it to what you found.
- Tap Finish at the end. This saves the recce as a draft for the supervisor to review.
Review, submit and approve (supervisor, website)
Open the recce from the job's Advance Work tab and check each section:
- Entry & Exit Points, Vehicle & Parking Assessment
- Hard Cover, Hospital, CBRN / Decontamination (with Research Now if the officer didn't complete them)
- Communications Assessment, Hostile Surveillance Indicators, Venue Security, Emergency Procedures, Venue Contacts
- Mission Briefing Content: press Draft from Risk Assessment to have the AI draft the Information, Overview, Route In & Drop and Method from the job's risk report. It never overwrites anything already typed. Read it and edit as needed.
- Site Specific Information, Medical & Protest Contingencies, Deployment Information, General Observations & Documents
On the website, the in-person tick reads I've checked this in person and it's right. When you're happy, press Submit Report. Conducted By must be filled in.
After the report is submitted, a supervisor opens it and presses Approve. The Advance Work tab then turns green. If anyone edits an approved report, it goes back to waiting for approval.
7. Schedule and team
The Schedule tab sets the dates of deployment and who is working them. Only people on a job's schedule can be given its recces, briefs and chat.
Add dates and assign your team
- Open the job and go to the Schedule tab. A first entry is usually already there, made from the dates on your New Job form.
- To add another, press Add Schedule Entry, give it a label (for example "Day 1" or "Recce"), a start date, an end date, an optional location and notes, then press Save.
- Set the entry's status: Planned, Active (the job then shows under Current Jobs), Completed or Cancelled.
- Under Assigned Team, press Assign team member... and pick from your roster. Each person shows Available, or On [job name] if they're already booked on overlapping dates, plus their specialisms and languages.
- To take someone off, press the cross by their name.
The Job Calendar in the menu shows all your jobs by month, and you can assign people from there too.
Expired qualifications
When you pick someone, VeilForge checks their SIA licence, first aid, driving licence and passport against the job's end date and warns you, for example "First Aid expired" or "Passport expires in 5d".
- SIA licence: if it expires before the job ends, the assignment is stopped. To go ahead anyway you must give a reason of at least 10 characters and tick to confirm that you and your company accept legal responsibility. The override shows in red on the job, is recorded in the audit log, and the account owner is emailed every time.
- First aid, driving licence, passport and other qualifications: if any are expired or expiring, a risk-acceptance box lists each one. You tick to confirm that you and your company accept the risk of deploying the officer. Your name and the time are recorded on the assignment and in the audit log.
8. Mission Brief
The Mission Brief is the field-ready briefing for a job, built from the recce and the risk report. Each officer reads it on their phone and signs to say they have, so you can see who's ready before the job and prove everyone was briefed afterwards.
Build and send the brief (supervisor)
- Complete the recce first (section 6). Until then the tab says to complete Advance Work.
- Open the job's Mission Brief tab and press Compile Mission Brief.
- Check what came through:
- From the recce: address with a map link, drop location, hospital, hard cover, CBRN, venue contacts, overview, event programme, route in and drop, walk-in route, incident response route, method, site information, contingencies (fire, suspicious package, medical, protest) and deployment information, with photos in the right sections.
- From the risk report: the overall risk, key risks and mitigations for each location, and choke points for each route.
- Optionally press Generate Situational Overview for a short AI-written summary. It's labelled as AI-drafted; edit it with Edit and Save Changes.
- Press Send to Team for Sign-off. Every officer on the job's schedule gets a phone notification that opens the brief, and a message is posted in the job's chat.
- Watch the Sign-off panel: each officer appears as a green chip with their name and the time they signed.
Print Brief opens a printable version (allow pop-ups). Recompile from latest Advance Work refreshes the brief after the recce changes.
Signatures are cleared if you recompile a brief that's already been sent, edit the overview or risk summary after sending, or press Re-send for Sign-off. You'll see an amber warning first. The team then signs again.
Read and sign (officer, phone)
- Tap Briefs at the bottom of the app (or tap the notification, or the job under Your Schedule on Home).
- Tap the job. Any known threats for the job are shown first, then the brief.
- Read it, then tap I Have Read and Understood This Brief.
Only officers assigned to the job on its Schedule can sign. Anyone else gets "You are not assigned to this job".
9. Job Tannoy
Job Tannoy puts out a call for a job to your connected officers in one go, instead of ringing round. Matching officers get a phone alert, say whether they're available, and you pick your team from the replies.
Put out a call (supervisor)
- Go to Team > Job Tannoy and press New Tannoy.
- Fill in:
- Job (pick the job) and What's the job?
- Start date, End date, Start time, End time (filled in from the job's schedule if it has one) and Location
- Positions: how many officers you need
- Specialisms required and Languages required: leave blank for anyone. If you pick several, an officer needs any one of them, not all.
- Who should see this?: Everyone eligible (connected officers and passed freelancers with an account who match), or Select list to choose people by name
- Press Post Tannoy. You'll see how many people were notified.
Pick your team
- Click the Tannoy to see Responses. Each shows Available or Not available, with any note.
- Press Shortlist for possibles (they aren't told).
- Press Add to job for the people you want. They're assigned on the job's Schedule, notified, added to the job chat, and added to Team & Certs if they weren't already.
- When you're done, press Close Tannoy, positions filled. Everyone who replied is told it's filled.
You can't post a Tannoy for dates already past, and it drops off officers' phones once its last date has gone.
Respond (officer, phone)
- On Home, tap the amber card saying a job call needs a response.
- Tap Respond, add a note if you like, then tap I'm available or Can't make it.
- Home then shows that your availability was sent, and later if you've been shortlisted.
10. Messaging and emergency alerts
Every company gets a Team Chat for everyone, plus a channel for each job and any groups you create. Officers use the Chat tab on their phone; supervisors use Messages on the website.
Channels (supervisor)
- Go to Messages. Team Chat is already there.
- Press + next to Channels to make a New Channel:
- Operation Channel: pick a job. Its team is added automatically.
- Custom Channel: give it a name and tick the members.
- Press Members in a channel's header to add or remove people, then Save Members.
- Switch on Send as Briefing to post a highlighted briefing message.
- Use the paperclip to attach a photo or file (the phone app is text only).
To get rid of a channel, hover over it and choose Delete Channel (yours) or Leave Channel (someone else's).
Report or block someone
Open the ⋮ menu on someone's message:
- Report message: choose a reason. Our team reviews reports within 24 hours.
- Block [name]: you stop seeing their messages and notifications. They aren't told, and their emergency alerts still reach you. Unblock from your profile under Blocked users.
Emergency alert (phone)
The red triangle button at the top right of the phone app sends an urgent alert to your team. It only appears once you're connected to a company.
- Tap the red button.
- Choose who it goes to under Send to (Team Chat by default) and add a message if you can.
- Tap Send Alert.
Your location is captured once, at that moment only, and posted with the alert as a what3words address, coordinates and a map link. If location is switched off, your team is told it's unavailable. VeilForge never tracks you continuously.
This alerts your team only. It does not contact the emergency services. In a life-threatening emergency, call 999 (or 112).
11. The phone app for officers
The phone app gives officers everything they need on a job, and keeps their qualifications with them from company to company. The tabs along the bottom are Home, Briefs, Chat, Advance, Debrief and Profile.
Supervisors can see exactly what officers see: click your name at the bottom of the website menu and choose Field View. Press Supervisor View to go back.
Join a company
A new officer starts unconnected: Home shows Not connected to a company yet, Send Status Update is greyed out, and there's no emergency button.
- Go to Profile > Join a company.
- Enter the join code your company gave you (for example VF-7K2P-QXR4) and tap Join.
If a company invited you by email, accept the banner saying they want to connect.
Home
- Send Status Update: tell the team you're En Route, On Location or Stand Down.
- Situational Awareness: see below.
- Today's Routes, with Go links and warnings of anything affecting a route.
- Job Tannoy calls waiting for your answer (section 9).
- Your Schedule: your upcoming jobs. Tap one to open its brief.
Situational Awareness
Open it from Home and tap Get My Current Location to see:
- Your Position as a what3words address and coordinates
- Nearby Crime Activity: recorded crimes within about a mile (police figures, not live, not Scotland)
- Nearby Services: quick map searches for police, hospitals and fire stations
- For today's job: the venue's hard cover, hospital and CBRN, each marked green if confirmed on the ground or amber if only AI suggested
Look Up Any Venue shows the same for any saved venue. A job only counts as "active" if its schedule dates include today.
Your qualifications
Go to Profile > My Qualifications. Open each one (SIA Close Protection Licence, First Aid, Driving Licence, Passport, DBS and more), enter the number and expiry date, add a photo, and tap Save. Add anything else under Other Qualifications > Add.
These belong to you and move with you between companies. Your company can verify them. If you change a verified qualification, even just the photo, the company's verification is removed until they check it again.
Under Expiry Reminders, choose push and/or email reminders, starting 30, 60 or 90 days before expiry.
Debrief and expenses
In Debrief, pick the job. Under Your Costings, tap Add to log a meal, travel or other expense with a photo of the receipt, then Submit. Once your supervisor starts the debrief, you can add what went well, what could improve and any incidents, then tap Save Contribution.
Known threats
Tap Known Threats on Home to see persons of concern linked to your jobs. If you see one, tap Log a Sighting Now, say where and what you saw, and tap Save Sighting.
Profile
Also under Profile: App Lock (a PIN, plus Face ID or fingerprint), threat alert emails, Blocked users, Refresh App, Log Out and Delete My Account.
12. Threat monitoring, daily briefs and patterns
These tools keep watch on your jobs and the places you work. Threat Monitor and Incident Patterns are on the Premium and Agency plans.
Threat Monitor
Go to Intelligence > Threat Monitor. It combines official FCDO travel advice with AI research on current developments for your jobs.
- Press Check All Assessments to check every current job, or Run Check on one.
- Results are grouped by severity: Critical, High and All Clear. Dismiss an alert once you've dealt with it.
While a job is live, VeilForge also checks it automatically every 30 minutes. Officers on the job are sent a phone alert only for high or critical issues backed up by an official FCDO or US Embassy source, so they aren't woken for rumours. Everything else stays in the Threat Monitor for you to review. Anything the AI couldn't verify is marked as such, with its source shown.
Watched regions and daily briefs
To keep an eye on an area you work in often:
- Under Watched Regions, press + Add Region.
- Enter a name (for example "Central London"), the place to search, and any notes. Press Save Region.
- Open the region's Daily Brief settings: switch it On, choose the Time, the Days (none ticked means every day), and Send via email and/or push. Add team email addresses under Also send to (team).
Each person gets one combined brief covering all their regions.
Incident Patterns
Go to Intelligence > Incident Patterns and press Run Pattern Analysis. Using your debriefs (at least 2 with incidents), it finds recurring problems, how well your risk assessments predicted what happened, the top lessons and immediate actions. The result isn't saved when you leave the page, so copy anything you want to keep.
Crime Map
See section 4.
13. After the job
Close each job with a debrief and its costs, so you have a record of what happened, lessons for next time, and a bill for the client.
Debrief
- Open the job's Debrief & Costings tab and press Create Debrief (or Open Debrief). You can also go to Ops > Job Debrief.
- Fill in the Job Summary / Narrative, a Timeline of Key Events (time, what happened, outcome), What Went Well, What Could Have Been Improved, Incidents / Near Misses / Issues Encountered, Lessons Identified and Additional Observations.
- Officers' contributions from their phones appear here too.
- Press Save Debrief.
Premium and Agency users can press Generate Root Cause Analysis for an AI look at why incidents happened. Lessons from your debriefs are saved, anonymised, to your company's Records > Knowledge Base, where only your company can see them, and are used to improve your future risk reports.
Costings
- From the same tab, press Open Costings (or go to Ops > Job Costings).
- Add costs under Officers (day rate and days), Hotels, Flights, Meals and Transport. Expenses officers submitted from their phones, with receipts, appear in the right sections, and Officer Spend Summary shows each officer's total.
- Add the client's Billing Contact email and any notes, then press Save Costings.
Send the costs to the client
Go to Ops > Billing & Costings. Every job with costs is listed.
- Press Preview to see exactly what the client will get: cost figures only, never the risk report, intelligence or debrief.
- Press Send Costings, check the Billing Contact Email, and press Send Costings again.
Records and reports
- Records > Audit Log: every important action, who did it and when (reports created, viewed and downloaded, officers connected, assigned and removed, Tannoys posted and closed, overrides and risk acceptances). Search and filter, and press Download CSV to export.
- Records > Analytics: your spending across jobs: total, average per job and the most expensive job, with charts.
How long jobs are kept
Each job is permanently deleted when the Data Retention Period you chose on the New Job form runs out (90 days by default). That includes its schedule, recces, debrief and job chat. The costing figures (officers, days, rates and totals) are kept separately for 6 years for your accounts, without the job's sensitive details. The audit log is kept too. Your venues, principals and team are kept. Download anything else you need before the period ends. Residential jobs are never deleted automatically.
14. Help and support
The quickest way to get help is the Help Centre assistant inside VeilForge. It can answer questions about any screen and raise a ticket with our team when it can't sort something out.
Help Centre
- Go to Records > Help Centre and press Start a conversation.
- Type your question. Use the paperclip to attach a screenshot.
- If it can't fix the problem, or you ask for a person, it raises a support ticket and our team follows up by email. Serious problems are flagged as urgent straight away: if you can't work at all, alerts or locations aren't arriving, several people are affected, or you think data may have been exposed.
We reply to urgent issues within 12 hours, 7 days a week, and everything else within 2 working days.
